Assistant in Security Department
Reporting Directly to the Security Manager
Provide administrative support to the department and/or Manager of Security. Duties include general clerical and project based work. Project a professional company image through in-person and phone interaction
KNOWLEDGE AND SKILL REQUIREMENTS
University Degree.
Excellent knowledge of Microsoft Office and computer skills.
Knowledge of foreign languages: English, French is an advantage.
Relevant training or qualification.
Knowledge of business principles.
Confidentiality.
Reliability.
Time management.
Interpersonal skills.
Verbal and written communication skills.
Professional personal presentation.
Attention to detail.
Initiative.
Energetic and dynamic person.
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology
Flexible on working extra time.
PRIMARY RESPONSIBILITIES
Prepare and manage correspondence, letters, reports and documents.
Implement and maintain office system.
Maintain and distribute staff weekly schedules
Setup and coordinate meetings.
Meet and greet clients and visitors.
Set up work procedures.
Collate information.
Create and modify documents using Microsoft Office.
Maintain hard copy and electronic filing system
Maintain databases.
Coordinate the flow of information both internally and externally.
Takes and relay messages.
Ensures knowledge of staff movements in and out of institution.
General administrative and clerical support.
Translates documents from English to Albanian and vice - versa.
Receives and sort mail and deliveries.
Registers mail on the Mail Protocol (manual & electronic).
Schedules and maintains appointments either manually or electronically.
Other duties as assigned.
