Job title: CEO Executive Assistant

Job Summary
Providing direct support to the Company CEO, including diary management, organizing internal, external, national and international meetings as well as associated travel, preparation and response to CEO correspondence.

Duties and responsibilities:


Handling confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience.
To act as the first point of contact for all communications with the CEO, ensuring that the CEO has effective communication systems in place to liaise with colleagues, external organizations and key individuals.
Assess the nature and level of the response required, and recognize urgent/contentious items.
Undertake necessary research in order to prepare responses for signature by the CEO.
Ensure that all correspondence is acknowledged and responded.
To contribute fully to the development of the management support team by providing a seamless service.
To effectively manage the CEO’s diary giving appropriate weight to priority issues and workload pressures.
Organize and service internal and external meetings, producing minutes of a high standard.
Ensure that there are appropriate systems to store and retrieve manual and computerized records and to save electronic documentation in line with the Company folder structure administration procedure.
Monitor and chase the progress of key issues and management functions.
Undertake general research as required into subjects within the remit of the CEO.
Produce briefing papers and background information as required to ensure that the Management is fully briefed and has the required papers prior to meetings.
Research material for and draft reports on behalf of the CEO.
Carry out other activities that fall within the scope of this post which are at a similar level of responsibility.
Promote and implement the Company corporate strategies, policies and practices in relation to employment and services.
To act in accordance with and adequately discharge responsibility in regard to the Company internal policies and procedures; service efficiency, responsiveness and effectiveness; use of Company resources; valuing diversity and promoting equality and working relationships with colleagues.


Educational Background: University degree


Professional Experience: Minimum 3 years of relative experience

Skills and Ability:



Have a detailed understanding of the range and complexity of issues
Demonstrable experience of setting up effective administrative and work monitoring and tracking systems.
Demonstrable experience of detailed research.
Demonstrable experience of working using own initiative.
Be able to review complex documents and identify the key issues within.
Be able to produce clear and concise written material to a high standard appropriate for the audience and to be issued from CEO.
Have a demonstrable understanding of the equality aspects of communications and act accordingly.
Identify and use a variety of information sources relevant to the work of the CEO.
Possess an excellent command of the English language, both written and spoken.
Have the ability to communicate often complex/contentious information to a wide range of audiences both orally and in writing.
Be able to work under pressure and meet frequent and tight deadlines whilst dealing with a wide range of matters.
Be able to work under own initiative with the minimum of supervision.
Ability to work under high pressure and meet deadlines.
Ability to use a range of IT applications. Word, PowerPoint, Excel and the ability to learn other IT applications.
Excellent verbal and written communications.
Fluent in English
